Personal Information Protection Policy

BJN INTERNATIONAL Co., Ltd. (hereinafter referred to as the “Company”) engages in fee-charging employment placement services, support services as a Registered Support Organization for Specified Skilled Workers, study-abroad support services, and businesses incidental or related thereto.

Our business is built upon the personal information entrusted to us by companies in Japan, job seekers overseas, including those from Nepal, Indonesia, and India, and foreign nationals studying and working in Japan. We recognize that the protection of personal information is a prerequisite for our business and the foundation of trust in the Company. Accordingly, we establish the following policy, which shall be observed by all officers and employees.

1. Compliance with Laws and Regulations

We comply with the Act on the Protection of Personal Information (hereinafter referred to as the “APPI”), the Employment Security Act, the Immigration Control and Refugee Recognition Act, the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (hereinafter referred to as the “My Number Act”), other applicable laws and regulations, and guidelines established by the government.

2. Appropriate Acquisition and Use

We identify the purposes of use as specifically as possible and acquire and use personal information by lawful and fair means only to the extent necessary to achieve those purposes. We do not handle personal information beyond the scope of the stated purposes of use without the consent of the individual concerned.

3. Security Management

We implement organizational, personnel, physical, and technical security measures to prevent leakage, loss, damage, and unauthorized access to personal information, and continuously review such measures in accordance with the circumstances of our business and developments in technology.

4. Provision to Third Parties and Cross-Border Transfers

Except as permitted by law, we do not provide personal information to third parties without the consent of the individual concerned. When providing personal information to a third party located in a foreign country, we provide the individual with the information required by law and obtain their consent in accordance with applicable laws and regulations.

5. Handling of Complaints and Consultations

We respond sincerely and promptly to requests for disclosure and other requests, complaints, and consultations from individuals regarding the handling of their personal information.

6. Continuous Improvement

We periodically review and continuously improve this policy and our internal regulations in light of amendments to laws and regulations, changes in social requirements, and changes in the business environment.

Privacy Policy (Handling of Personal Information)

2. Scope of Application

This Privacy Policy applies to all personal information acquired by the Company through its business activities and its website (https://bjninternational.com, hereinafter referred to as the “Website”). The handling of personal information on external websites linked from the Website is the responsibility of the respective operators of such websites.

The Japanese version of this Privacy Policy shall be the official version. In the event of any discrepancy between the Japanese version and any translation into English or another language, the Japanese version shall prevail.

3. Personal Information We Collect

(1) Persons Making Inquiries

Name, company name, department, job title, telephone number, email address, and details of the inquiry.

(2) Job Seekers and Candidates

This includes persons wishing to work in Japan under the status of residence of Specified Skilled Worker, Engineer/Specialist in Humanities/International Services, or other statuses of residence, as well as foreign students and graduates in Japan.

  • Name (in kanji, Roman characters, and native-language script), date of birth, gender, nationality, address, telephone number, email address, and photograph
  • Passport number, residence card number, status of residence, period of stay, and other information required for immigration procedures
  • Educational background, employment history, qualifications, Japanese-language proficiency, and results of skills evaluation tests
  • Desired occupation, preferred work location, desired employment conditions, and health-related information legally required in connection with employment or status of residence
  • Family composition, emergency contact information, and information concerning sending organizations in the individual’s home country
  • Interview records and evaluations by Company personnel

(3) Recruiting Companies and Business Partners

Name, department, job title, telephone number, email address, job vacancy information, and information relating to contracts and billing.

(4) Prospective International Students and Their Guardians

Name, date of birth, nationality, address, contact information, educational background, Japanese-language proficiency, information concerning financial support, and guardian information.

(5) Job Applicants, Officers, and Employees

Name, address, contact information, educational background, employment history, salary and social insurance information, Individual Number (My Number), and other information necessary for personnel and labor management.

(6) Website Users

IP address, browser type, pages viewed, date and time of access, referral source, cookies, and other identifiers.

Sensitive Personal Information

The Company acquires health examination results and other sensitive personal information only when genuinely necessary under applicable laws or for business purposes, such as applications for status of residence, implementation of support plans, or ensuring workplace safety, and only after obtaining the individual’s prior consent. Except where permitted by law, the Company does not acquire sensitive personal information without consent.

4. Methods of Collection

The Company collects personal information by the following methods:

  1. Directly from the individual, including in writing, through forms on the Website, by email, telephone, in-person meetings, online interviews, messaging applications, and other means.
  2. From sending organizations, overseas partners, educational institutions, introducers, or recruiting companies with the individual’s consent.
  3. From information made public by the individual, such as publicly available profiles or resumes.
  4. Automatically through cookies and other technologies when the Website is used.

Handling under the Employment Security Act

The Company collects personal information of job seekers only to the extent necessary to achieve the purposes of its employment placement services and stores and uses such information only within the scope of those purposes. Information concerning race, ethnicity, social status, family origin, registered domicile, place of birth, thoughts and beliefs, and labor union membership will not be collected unless there is a special occupational necessity or it is otherwise indispensable for achieving the purpose of the business and is collected directly from the individual after clearly indicating the purpose of collection. Information concerning nationality and status of residence is acquired only to the extent necessary for immigration procedures and confirmation of eligibility to work.

The Company does not use personal information beyond the scope of these purposes without the individual’s consent, except where permitted by law. If a purpose of use is changed, the revised purpose will be notified to the individual or publicly announced.

6. Provision to Third Parties

The Company does not provide personal information to third parties without prior consent, except:

  1. When required by law.
  2. When necessary to protect a person’s life, body, or property and obtaining consent is difficult.
  3. When particularly necessary for improving public health or promoting the sound development of children and obtaining consent is difficult.
  4. When cooperation with a government authority is necessary and obtaining consent may impede the performance of legally prescribed duties.

When the Company provides personal data to a third party or receives personal data from a third party, it creates and retains records in accordance with applicable laws and regulations.

7. Provision to Third Parties Located in Foreign Countries

The Company may provide personal data to sending organizations, overseas partners, and family members located in Nepal, India, or other countries. Servers used by cloud services may also be located in the United States or other foreign countries.

  1. The individual’s prior consent is obtained after providing legally required information concerning the destination country and the recipient’s protection measures.
  2. The recipient has established a system that complies with standards prescribed by the Personal Information Protection Commission.
  3. The recipient is located in a country recognized as having a level of personal information protection equivalent to that of Japan.

8. Outsourcing

The Company may outsource all or part of the handling of personal information to:

  • Cloud service, email, and data storage providers
  • Translation and interpretation providers
  • Administrative scriveners handling immigration applications
  • Accounting, tax, and labor professionals
  • Website development and maintenance providers

The Company selects service providers capable of appropriately handling personal information, enters into agreements including confidentiality obligations, and appropriately supervises their handling of personal information.

9. Security Control Measures

Basic Policy
The Company has established and published the Personal Information Protection Policy set forth in Part 1.
Rules
Internal rules define handling methods and responsible persons at each stage of acquisition, use, storage, provision, deletion, and disposal.
Organizational Measures
A Personal Information Protection Manager is appointed, handling practices are monitored, and incident reporting and review systems are maintained.
Personnel Measures
Officers and employees receive regular education regarding personal data, and confidentiality obligations are established.
Physical Measures
Access to areas handling personal data is controlled, documents and media are securely stored, and disposal prevents restoration.
Technical Measures
Access privileges are restricted, multi-factor authentication is used, important information is encrypted, and security and access-log measures are implemented.
External Environment
The Company understands the personal information protection systems of countries where personal data is provided or stored and implements necessary and appropriate security measures.

10. Retention Period

The Company retains personal information only for the period necessary to achieve the purposes of use and for retention periods required by law, after which it is promptly deleted or disposed of.

11. Requests for Disclosure, etc. of Retained Personal Data

Individuals or their authorized representatives may request notification of purposes of use, disclosure, correction, addition or deletion, suspension of use, erasure, suspension of provision to third parties, and disclosure of records concerning third-party provision.

(1) How to Make a Request

Please contact the office specified in Section 18 in writing or by email and submit the prescribed form and identification documents.

(2) Identity Verification

  • Driver’s license, passport, Individual Number Card (front side only), residence card, special permanent resident certificate, or other government-issued photo identification.

(3) Fees

A fee of 【JPY 1,000】 per request is charged for notification of purposes of use or disclosure. No fee is charged for other requests.

(4) Response

The Company will respond without delay after identity verification, in writing or by an electronic method designated by the individual.

(5) Cases in Which Requests May Not Be Fulfilled

  • When rights or interests of the individual or a third party may be harmed.
  • When the proper conduct of the Company’s business may be significantly affected.
  • When compliance would violate laws or regulations.
  • When identity cannot be verified.

12. Response to Data Breaches and Similar Incidents

If leakage, loss, damage, or another security incident occurs, the Company promptly takes measures to prevent further damage and, in accordance with applicable laws, reports to the Personal Information Protection Commission and notifies affected individuals.

13. Cookies and Analytics Tools

The Website uses cookies and similar technologies to improve convenience, analyze usage, and measure advertising effectiveness.

14. Personal Information of Minors

When acquiring personal information from persons under 18 years of age, the Company obtains the consent of their parent or guardian.

15. Accredited Personal Information Protection Organization

The Company is not a member of any accredited personal information protection organization.

16. Handling of Individual Numbers (My Number)

Individual Numbers are acquired and used only for withholding tax, social insurance, and employment insurance procedures prescribed by law, and are disposed of after the legally prescribed retention period.

17. Amendments to This Privacy Policy

The Company may revise this Privacy Policy as necessary due to amendments to laws and regulations, changes in business activities, or other circumstances. The revised policy becomes effective when posted on the Website.
